Gym Privacy Policy

How LiFit handles gym ownership claims, verification evidence, representative and staff information, community listings, and gym program records.

Who this policy covers

This policy supplements LiFit's general Privacy Policy for gym owners, managers, authorized staff, and people making a gym ownership claim. It covers information LiFit processes to review authority, manage a gym's LiFit presence, and operate any expressly enabled gym referral program.

Ordinary members' personal accounts, fitness logs, social content, and app permissions remain covered by the general Privacy Policy. A physical gym's own membership, billing, access-control, surveillance, training, or employee records are governed by that gym's separate practices, unless a specific service and appropriate notice expressly provide otherwise.

Gym claims and verification evidence

A claim includes the gym's LiFit identifier, your account identifier, owner or manager name, business email, phone number, claimed position, and supporting evidence you upload. We also keep upload metadata, claim status, submission times, decisions, and relevant review history.

We use this information to verify authority, contact you, distinguish competing or mistaken claims, prevent impersonation, and manage ownership access. Authorized reviewers may create private notes and decision records. Supporting claim evidence is stored separately from public gym logos and profiles and is not made public through the gym listing.

Upload only evidence relevant to authority to represent the gym. Redact unrelated personal addresses, account numbers, government identifiers, customer lists, and financial or health details where they are not needed for verification. Do not upload member health records or third-party identity documents without a lawful basis and an express need.

Representatives, staff, and management history

LiFit records the approved primary owner, authorized staff account references and roles, ownership status, relevant management actions, and changes to access. We use these records to apply permissions, maintain the listing, investigate disputed changes, and remove or transfer access through an authorized process.

Administrative access is distinct from gym membership. Other representatives may see the role information required for authorized management, but a staff role does not grant access to all private claim evidence, internal review notes, financial evidence, or members' private fitness records.

Public gym listings and community activity

A gym's name, logo, description, location or address, website and social links, community information, approved badges, and public member counts may appear in discovery results, shared previews, and a public lifit.app listing. Listings may include information supplied by representatives, users, or external location services.

Members may choose to associate with a gym and participate in its feed or leaderboards. Their public or community activity can reveal that participation to other members. A gym community is not a copy of the facility's customer database and joining it does not grant a representative access to private meal logs, body measurements, or workout details outside the member's permitted audience.

Publishing a business address or contact link makes it available to visitors. Use business contact information you are authorized to publish; do not substitute someone's private contact information without permission. Public information may be indexed or copied outside LiFit.

Gym links, referrals, and reward reporting

Gym codes and QR links can identify the gym, campaign, source, and destination. LiFit may record visits, app opens, store-link selections, signups, qualifying activity dates, retention milestones, and eligible subscription events to evaluate the program and prevent duplicate or fraudulent credit.

A referral may be linked to the user's account after a supported attribution step. Attribution is separate from gym membership: a person can follow a gym link without becoming a member, and an existing gym selection is not silently replaced. A qualifying gym activation requires the applicable gym association and verified activity under the enabled policy.

Where available, gym reports use relevant aggregate metrics and sanitized reward records. Referring or managing a gym does not provide access to raw visitor identifiers, private workout or meal contents, another gym's finances, a member's payment-card number, or internal fraud notes. Authorized LiFit staff may review limited underlying evidence for security, accounting, and disputes.

Disclosures and payment records

Authorized LiFit personnel and service providers may process claim, management, and program information for review, hosting, access control, support, security, and accounting. Approved public listing information is visible to its audience. We may disclose relevant records to meet legal obligations, prevent fraud or harm, address legal claims, or support a business transaction with applicable notice and safeguards.

If an enabled program results in an agreed manual external payment, the payment provider handles recipient information supplied to it. LiFit keeps the minimum confirmation, amount, currency, policy, and related records needed to account for the payment. An ownership application is not a payment-instrument enrollment form; do not upload banking or tax credentials as ownership evidence.

Your gym's independent responsibilities

When the gym independently collects member or employee information, it is responsible for its own privacy notice, lawful permissions, security, retention, and requests. LiFit does not become the operator of the gym or the keeper of its membership system because the gym has a listing.

Use LiFit member information only for the authorized community purpose and the member's permitted audience. Do not scrape profiles, export member data for unrelated marketing, infer private health information, or combine a LiFit identity with unrelated records without an appropriate legal basis and notice.

Retention and deletion

We retain an active application or program record while it is needed to evaluate the application, manage the relationship, address disputes, or meet applicable obligations. Account deletion and leaving a program are separate actions. You can request either through privacy@lifit.app or the available account controls.

The following approved category schedules apply, subject to an active legal hold or other legal requirement. Pseudonymization replaces identifying fields with limited identifiers; it is not a promise that every remaining record is anonymous.

  • Rejected or withdrawn partner applications: deleted after 90 days.
  • Rejected or disabled partner records: pseudonymized after one inactive year.
  • Gym-claim evidence media: deleted after 90 days; claim-decision audit: deleted after three years.
  • Clearly nonfinancial attribution events: pseudonymized after 24 months.
  • Resolved fraud or moderation records: deleted after 24 months unless an active legal need applies.
  • Administrative audit records: retained pseudonymously for three years.
  • Minimal commission financial evidence: retained for seven years for accounting and legal obligations, including where an associated account has been deleted.

Your choices and privacy requests

You can review or correct the profile information you control, withdraw a pending application where that option is available, request the removal or correction of public program information, and contact us about closing a program relationship. A gym representative cannot use their own account-deletion request to erase other members' accounts or a gym's independent records.

Depending on applicable law, you may have rights to access, correct, delete, obtain a copy of, restrict, or object to processing of personal information, and to appeal a request decision. Submit requests to privacy@lifit.app. We may verify your identity, authority, and the records involved; we will honor applicable response periods and authorized-agent requirements. Exercising protected rights does not by itself disqualify you from a program.

Our approved account-deletion request standard is acknowledgment within two business days and completion within 30 calendar days unless a disclosed legal hold applies. We do not ask for your password by email. Removing an account does not cancel a store subscription, and financial or other records may remain under the retention schedules above.

Security, providers, and international processing

We use account authentication, role-based access, private storage for claim evidence, and administrative audit records to help protect program information. No system can guarantee absolute security. If a security incident affects your information, we will investigate and provide any notice required by applicable law.

Firebase and Google Cloud support authentication, storage, application processing, and records. Cloudflare and the Sites hosting platform support the website and network security. RevenueCat and the applicable app store provide subscription evidence used to verify eligible Pro conversions. If a manual external payment is arranged, the selected payment provider handles the payment information submitted through its own service and may supply a confirmation reference to LiFit.

Providers may process information in the United States and other countries. Applicable legal requirements for that processing and any required safeguards continue to apply. Changes to this policy

We may revise this policy as the program, our processing, or legal requirements change. We will update the last-updated date and provide any further notice or obtain consent where required. This policy does not authorize a new use of information that requires a separate permission.
